This Privacy Policy explains how Peak Legal Ops, LLC (“Peak Legal Ops,” “we,” “us,” or “our”) collects, uses, and shares personal information in connection with LVAppSuite, including our website at lvappsuite.com, the LVAppSuite application at app.lvappsuite.com, and our related communications.
1. Scope
This Privacy Policy covers personal information that we collect and decide how to use, such as information about website visitors, people who sign up for LVAppSuite, the Authorized Users who sign in to it, and people who contact us. LVAppSuite is a business service, and this Privacy Policy is written for the organizations and professionals who use it.
This Privacy Policy does not cover:
(a) Customer Data. Data that a customer processes through LVAppSuite, including data retrieved from the customer’s LawVu organization, is processed on the customer’s behalf and governed by the LVAppSuite Subscription Terms (lvappsuite.com/terms) and Data Processing Addendum (lvappsuite.com/dpa). For that data, the customer decides how it is used, and questions about it should go to the customer.
(b) LawVu. LawVu is a separate service provided by a third party. When you sign in to LVAppSuite through LawVu, LawVu’s own privacy policy applies to the information LawVu collects.
2. Information We Collect
2.1 Information You Give Us.
(a) Sign-up information: your organization’s name, your work email address, your LawVu region, the modules and billing period you choose, and your acceptance of the LVAppSuite Subscription Terms.
(b) Billing information: your billing contact details. Card payments are handled by Stripe, and we do not receive or store full card numbers.
(c) Communications: the content of emails and other messages you send us, such as support requests, and your contact details.
2.2 Information from LawVu When You Sign In. LVAppSuite users sign in through LawVu. When you do, we receive and store your LawVu user identifier and email address, and we record your role and permitted access for your organization’s workspace. We also receive credentials that allow LVAppSuite to connect to your organization’s LawVu environment, which we store encrypted.
2.3 Information Collected Automatically.
(a) Sign-in and security records: the date and time of sign-ups and sign-ins, your IP address, and your browser’s user agent (which identifies the browser and device type). We use these to operate sessions, protect accounts, and limit abuse of the sign-up process.
(b) Usage and log data: technical information about how the application is used and performs, such as feature use, error reports, and server logs kept by our hosting providers, which include IP addresses.
(c) Activity records within a workspace: records of actions taken in LVAppSuite, such as which user started a bulk update, so that customers can see and audit changes made in their LawVu environment.
2.4 Cookies and Similar Technologies. The LVAppSuite application uses a small number of cookies and browser storage items that are necessary for it to work or that remember your settings: to keep you signed in, to remember the last workspace you used, to show a notice if your session ends, to remember which product updates you have seen, and to remember whether the sidebar is open. We do not use advertising cookies, analytics cookies, or cross-site tracking technologies. Our website at lvappsuite.com does not set cookies and does not load content from third-party services.
3. How We Use Information
We use personal information to:
(a) create and operate accounts and workspaces and provide LVAppSuite;
(b) authenticate users, manage sessions, and protect the security of LVAppSuite, including detecting and preventing fraud and abuse;
(c) process payments and manage subscriptions;
(d) record acceptance of our terms;
(e) respond to support requests and send service communications, such as renewal reminders, billing notices, security notices, and notices required by our terms;
(f) understand how LVAppSuite is used and improve it, using aggregated information where practical; and
(g) comply with legal obligations, enforce our terms, and protect our rights and the rights of others.
We send service communications to account contacts as part of providing LVAppSuite. If we send marketing emails, we will include a way to unsubscribe. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
If data protection laws in the European Economic Area, the United Kingdom, or Switzerland apply, we rely on the following legal bases: performing our contract with you or your organization (for providing LVAppSuite and billing); our legitimate interests in operating, securing, and improving LVAppSuite and communicating with customers; compliance with legal obligations; and consent, where the law requires it.
4. How We Share Information
We share personal information only as described below:
(a) Service providers that help us operate LVAppSuite under contracts that limit their use of the information: Supabase (database and backend hosting, on Amazon Web Services in the United States), Vercel (application hosting), Stripe (payment processing), and Postmark, operated by ActiveCampaign, LLC (sending service emails, such as workspace set-up links and account notices, which involves the recipient’s name and email address, organization name, and the email content). Our current list of subprocessors is at lvappsuite.com/subprocessors.
(b) LawVu, to the extent needed for you to sign in through LawVu and for LVAppSuite to connect to your organization’s LawVu environment.
(c) Your organization. Workspace administrators at your organization can see who has access to the workspace and records of activity within it.
(d) Legal and safety reasons, where we believe disclosure is required by law or legal process, or is necessary to protect the rights, property, or safety of Peak Legal Ops, our customers, or others.
(e) Business transfers, as part of a merger, acquisition, financing, or sale of all or part of our business, subject to this Privacy Policy or equivalent protections.
5. How Long We Keep Information
We keep personal information only for as long as we need it for the purposes described in this Privacy Policy:
(a) Account and workspace information is kept for as long as the customer’s subscription is active and is then deleted on the schedule in Section 6.8 of the LVAppSuite Subscription Terms (within thirty (30) days after the subscription ends, with backup copies removed within a further thirty (30) days).
(b) IP addresses and user agents in sign-in and sign-up records are deleted or de-identified within ninety (90) days after they are collected.
(c) Records of terms acceptance and billing records are kept for as long as needed to meet our legal, tax, and accounting obligations and to resolve disputes.
(d) Support communications are kept for as long as needed to respond and to maintain a record of the request, and in any case no longer than the relationship with the customer plus a reasonable period afterward.
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, additional encryption of stored LawVu credentials, and access limited to people who need it. Section 8 of the LVAppSuite Subscription Terms describes our security measures in more detail. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Choices and Rights
Depending on where you live, you may have the right to ask us to confirm whether we process your personal information, to access or receive a copy of it, to correct it, to delete it, or to object to or restrict certain processing. We will honor these requests to the extent the law requires, and we will consider them in good faith even where it does not. To make a request, email support@lvappsuite.com. We may need to verify your identity before acting on a request, and you may use an authorized agent where the law allows.
If your request concerns Customer Data that your organization processes through LVAppSuite, we will refer you to your organization, which controls that data. We will not discriminate against you for exercising your rights. If we decline your request, you may ask us to reconsider by replying to our response. If you are in the European Economic Area, the United Kingdom, or Switzerland, you also have the right to lodge a complaint with your local data protection authority.
8. International Users
LVAppSuite is operated from the United States, and personal information is stored and processed in the United States. If you use LVAppSuite from outside the United States, your information will be transferred to the United States, where data protection laws may differ from those in your country. Where required, we protect transfers of personal information as described in our Data Processing Addendum.
9. Children
LVAppSuite is a business service and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us personal information, contact us and we will delete it.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new effective date. If we make material changes, we will notify account contacts by email before the changes take effect.
